Osaka University IDentity / Digital Student and Staff ID / Face Recognition Entry System

OSAKA UNIVERSITY IDENTITY

OUID

OUID is the integrated ID infrastructure for all members associated with the University of Osaka. OUID is designed as a lifelong unique ID for the entire the University of Osaka community, including not only the current approximately 35,000 students and faculty/staff members but also prospective students, alumni, parents, and local community members.

As the first application utilizing OUID, since June 2024, we have been operating an entry management system using facial recognition technology at dozens of indoor and outdoor locations across university campuses as a university-wide common infrastructure (currently expanding). This represents the largest implementation of such a system among universities in Japan.

Moving forward, we will continue to explore OUID applications such as digital identification (Digital student and faculty/staff ID started in January 2025) and promote university-wide DX initiatives. These will contribute to various aspects of university life and career development, including automated book lending/returns, study room congestion detection, class attendance management, and post-graduation information such as reskilling/recurrent education, qualifications, and activities.

Digital Student and Staff ID

As part of promoting DX (Digital Transformation), we began providing digital student and staff ID, which can be displayed on smartphones, to all students, faculty, and staff across the university starting January 29, 2025. This initiative aims to enhance the convenience of Osaka University members, improve operational efficiency, and reduce management costs.
These digital student and staff ID cards will be offered as a new feature of Osaka University’s official smartphone application, “My Handai App.” Students and staff of Osaka University will be able to easily present their IDs using their smartphones.

Facial Recognition Entry System

We are working to reduce the complexity of key management by introducing a facial recognition entry system integrated with OUID, with installation locations gradually being expanded. At Osaka University, the methods of entry control vary by building and room, involving cylinder keys, IC cards, or magnetic cards. This creates a significant administrative burden, including the risk of key loss and cumbersome procedures such as preparing and filling out handwritten key lending ledgers. The facial recognition entry system eliminates these complexities. Additionally, it provides a seamless service that enhances convenience, security, and innovation by automatically integrating with personnel changes such as recruitment, resignation, and internal transfers.

If facial recognition fails even after photo registration, it may be due to permission settings. Please check permissions with the department responsible for managing each building. If permissions are not the issue, please contact the Information Planning Division, Department of Information and Communications Technology Services as other causes may be involved.
